Position Overview: The Travel Management Assistant position is responsible for coordinating and administering travel arrangements and related services, providing guidance and support on travel-related matters, and facilitating the administrative and logistical arrangements for events, meetings, and related activities. The position ensures compliance with relevant policies and procedures while contributing to smooth and efficient operations.
To support the Service Unit of the Country Office, we are seeking a full-time (100%), Band 2 position to provide travel and event support within the Service Unit.
“Travel Management Assistant”
Tasks and Functions include but are not limited to:
Support the booking of flight tickets and other travel arrangements for GIZ staff.
Assist in managing travel arrangements for national staff, counterparts, and partners, including travel applications, travel settlements, mission support, and liaison with GIZ Country Offices.
Provide support for the administrative and logistical aspects of events, including venue arrangements, participant support, BANF contracts, and event-related procurement.
Maintain and ensure the timely updating of the Service Unit’s IDA page in coordination with the Head of Service Unit, Head of Financial Management, and Head of Administration and Logistics.
Support internal control, compliance, and audit processes, including the implementation of audit recommendations and corrective measures.
Perform other administrative and operational tasks as assigned by the line manager.
متطلبات الوظيفة:Required qualifications, competences, and experiences are considered an asset:
High school Diploma recognized commercial diploma in business administration/logistics or any related field.
At least one year of relevant professional experience in travel administration, office administration, logistics, or a comparable position.
Good organizational and coordination skills.
Good communication and interpersonal skills.
Advanced computer skills particularly in MS Word, Excel, PowerPoint, and Project.
Experience with travel arrangements, flight bookings, travel-related documentation, or coordination with service providers is an advantage.
Experience in maintaining and updating internal webpages or information platforms is an advantage.
Very good command of English and native-level Arabic.
Willingness to learn and adapt to relevant procedures, digital systems, and tools.
