Job Summary:
The Clinical Programs Coordinator provides essential administrative, logistical, and operational support to the Clinical Programs Officer to ensure the efficient execution of PCRF’s Clinical Programs. These programs encompass PCRF’s specialized in-hospital interventions, including surgical case management, medical missions, treatment abroad, and other hospital-based initiatives such as the Direct Surgical Program and PCRF-supported hospital departments.
This role contributes to PCRF’s mission of providing lifesaving pediatric care by ensuring timely, accurate, and effective coordination of both individual case interventions and specialized pediatric programs. The role focuses on assisting with surgical case management, medical missions, treatment abroad programs, hospital program support, and the Direct Surgical Program, as well as supporting the maintenance of clear communication between headquarters, field teams, healthcare partners, surgeons, and the Medical Advisory Board (MAB).
Key Responsibilities:
1. Administrative Support and Data Management
- Organize and maintain medical records, case files, and program documentation, along with coordinating program activities to ensure timely and effective service delivery to beneficiaries.
- Perform accurate collection, entry, and maintenance of program-related data in PCRF data management systems, while ensuring confidentiality.
- Ensure compliance with organizational and donor data policies.
- Track correspondence, approvals, and supporting documents for all assigned cases and programs.
- Prepare meeting notes, correspondence, and other administrative documents for the Clinical Programs Officer.
2. Surgical Case Management Support
- Assist in reviewing surgical case submissions to ensure completeness before forwarding for approval.
- Follow up with field teams and healthcare providers to obtain missing or updated documents.
- Support prioritization of cases based on medical urgency, ensuring timely follow-up.
- Monitor active cases and maintain updated status reports for the Clinical Programs Officer.
- Assist other departments in any potential medical consultations by gathering relevant information, coordinating with the Clinical Programs Officer, and facilitating communication with the Medical Advisory Board or external medical experts.
3. Medical Missions
- Support logistical arrangements for medical missions, including communication with partner hospitals, visiting medical teams, and volunteers.
-7 Assist in tracking mission schedules, required resources, and pending needs.
- Coordinate with the procurement team to ensure necessary medical supplies and equipment are arranged.
4. Direct Surgical Program Administrative Support
- Assist in processing applications, Internal Purchase Requests (IPRs), and Purchase Requests (PRs) for the Direct Surgical Program.
- Help track and follow up on pending cases, ensuring proper documentation and timely approvals.
- Maintain updated records of program activities, expenditures, and outcomes for reporting purposes.
Hospital Program Support
- Track the needs and developments of PCRF-supported hospital departments and units (e.g., cardiac, oncology)
- Monitor the availability of equipment, supplies, and medications, and escalate gaps to the Clinical Programs Officer.
- Maintain regular communication with hospital focal points to gather updates on program activities, challenges, and patient volumes.
- Document and follow up on requests from hospitals regarding staff training, equipment repair, or additional support needs.
- Coordinate with procurement, logistics, and finance teams to facilitate the provision of hospital support in line with approved requests.
- Prepare periodic updates and reports on hospital department performance, challenges, and impact for internal use and donor reporting.
متطلبات الوظيفة:- Bachelor’s degree in nursing, Healthcare Administration, Public Health, or a related medical field.
- 3 years’ experience in a hospital, surgical department, or direct clinical setting (experience supporting surgeons or surgical cases is an asset).
- NGO and humanitarian experience is an asset
- Strong organizational skills with high accuracy in managing surgical case files, medical referrals, and hospital communications.
- Proficiency in Microsoft Office Suite and Google Systems, with familiarity in using medical databases or patient management systems.
- Strong verbal and written communication skills in both Arabic and English, including the ability to read and interpret surgical/medical reports.
- Familiarity with surgical terminology, medical documentation, and patient referral pathways.
- Ability to work collaboratively with surgeons, doctors, and multidisciplinary medical teams in a multicultural environment, while adapting to changing surgical schedules and priorities.
