الوصف الوظيفي:Position overview
The Logistics and Maintenance Officer keeps our house supplied, organized and in safe working order, so that residents live in a comfortable, clean and dignified home and care staff can focus on caring.
Position: Logistics and Maintenance Officer – Full time
Reports to: The Director of the house
Works with: Nursing and care staff, kitchen and housekeeping teams, suppliers and external contractors
Scope: Purchasing, storage management and all maintenance of the house and its grounds
Purchasing
The Officer is responsible for buying everything the house needs, at the right quality, quantity and price.
Collect supply requests from the care, kitchen and housekeeping teams and plan regular purchasing cycles.
Purchase food-related supplies, cleaning products, hygiene and incontinence supplies, linens, kitchen and dining items, spare parts, tools and maintenance materials.
Obtain price quotes from at least two suppliers for significant purchases, and negotiate prices, delivery terms and payment conditions.
Check every delivery against the order for quantity, quality, expiry dates and condition; report and resolve discrepancies with the supplier.
Keep purchase orders, invoices and receipts in order, and pass them to the Director and accounting on time.
Storage and inventory management
The Officer manages all storerooms so that essential items are always available and nothing is wasted.
Keep storerooms clean, dry, organized and clearly labeled, with heavy items stored safely and walkways clear.
Maintain an up-to-date inventory of all supplies, tools and spare parts, and update it whenever stock is received or issued.
Set minimum stock levels for critical items (for example hygiene supplies, medical consumables, batteries, light bulbs) and reorder before they run out.
Apply first-in, first-out rotation and monitor expiry dates, especially for food and cleaning chemicals.
Store chemicals, cleaning agents and flammable materials separately and safely, in line with safety rules.
Issue supplies to departments against a simple request record, and run a full stock count at least twice a year.
Report losses, damage, waste and unusual consumption to the Director.
Maintenance and handy jobs
All maintenance of the house is carried out by the Logistics and Maintenance Officer. The only exception is a complex issue that the Director has been convinced requires outside professionals.
The Officer's maintenance duties include:
Preventive maintenance: Walk through the whole house and grounds regularly, using a checklist, to find and fix problems before they become failures or hazards.
Carpentry and general repairs: Doors, locks, hinges, handles, shelves, cabinets, furniture, curtains and rails, and wall and floor damage.
Plumbing: Leaking taps, blocked drains and toilets, shower fittings, flushing systems and simple pipe repairs.
Electrical (basic): Replacing bulbs, switches, sockets and fittings, and checking emergency lighting.
Painting and finishing: Touch-ups and repainting of rooms and corridors, with minimal disturbance to residents.
Resident-safety items: Installing and checking grab bars, handrails, anti-slip surfaces, bed rails, call-bell points and wheelchair ramps.
Equipment care: Basic upkeep and minor repairs of wheelchairs, walkers, beds, lifts that are within the Officer's ability, kitchen and laundry equipment, and heating and cooling units.
Grounds: Keeping entrances, paths, garden furniture and outdoor areas safe and in good condition.
Response time: Handle urgent faults (water leaks, power problems, broken locks, heating or cooling failures) immediately, and record every request and repair in a maintenance log.
Repairs in residents' rooms are carried out with respect for privacy and, wherever possible, at times agreed with the resident and the care staff.
Safety, compliance and residents' wellbeing
Keep the house compliant with fire safety, health and building regulations; check extinguishers, smoke detectors, emergency exits and evacuation routes on a fixed schedule.
Arrange the periodic inspections required by law (for example elevators, gas, electrical and fire systems) through licensed providers.
Remove hazards promptly: loose cables, uneven surfaces, broken furniture and poor lighting.
Maintain safe water temperatures and make sure heating, cooling and ventilation work properly, especially in extreme weather.
Keep backup lighting, generator or other emergency equipment ready, and take part in emergency drills.
Follow safety rules when using tools, ladders and chemicals, and wear protective equipment.
Treat residents, their families and staff with patience and respect, and report any safety concern or resident need noticed during work to the Director or the nursing lead.
