Job Summary:
The Receptionist welcomes visitors, answers calls, and supports general office tasks. They keep the reception area clean and organized, handle mail and deliveries, and ensure office supplies are stocked.
They also monitor the office’s security systems, control building access, conduct routine safety checks, and respond to security issues or emergencies. Additionally, they help with light maintenance tasks, coordinate with vendors, and assist staff with supplies and other office needs.
This role requires strong communication skills, attention to detail, and the ability to handle multiple tasks professionally.
Key Responsibilities:
Receptionist Duties:
Greet and welcome visitors, clients, and employees professionally and courteously.
Answer incoming phone calls, direct them to the appropriate department, and take messages when necessary.
Handle inquiries and provide information about the Organization, services, or office operations.
Monitor and manage the reception area, ensuring it is always clean, organized, and presentable.
Perform general administrative tasks such as filing, photocopying, and managing correspondence.
Receive, sort, and distribute incoming mail and deliveries.
Assist with office supplies management, ensuring inventory is stocked and ordered when necessary.
Security Duties:
Monitor security systems, cameras, and alarm systems to ensure the safety of the premises.
Control access to the building by verifying identification and granting or denying entry as necessary.
Conduct routine security checks of the facility, including doors, windows, and security equipment, to ensure everything is secure.
Respond to security incidents, alarms, or emergencies and notify law enforcement or emergency services as needed.
Implement and enforce Organizational security policies and procedures, ensuring compliance by employees and visitors.
Report any suspicious activity or security concerns to management and log incidents for record-keeping.
Assist in managing and coordinating emergency evacuation procedures and drills.
Provide assistance during after-hours operations or events when necessary.
Promptly respond to any security breach at the association's premises and handle the situation appropriately, reporting to the relevant authorities when necessary.
Other Duties:
Maintain equipment and coordinate with vendors and service providers.
Assist in receiving any devices, equipment, or supplies, ensuring they are stored safely and remain intact.
Help move furniture or reorganize employee offices or storage areas, and dispose of damaged items.
Perform any other tasks requested by the direct supervisor.
Coordinate with staff and suppliers and maintain an adequate stock of office supplies, kitchen equipment, and cleaning materials to ensure continuous availability.
Prepare and send office supply orders, receive them, verify their compliance with agreed-upon specifications, and prepare receipt reports.
Ensure that employees receive all the supplies they need for their work in the office.
Ability to perform any additional tasks related to both manual and electronic office duties.

At least 1–2 years of experience in reception, front desk, customer service, or administrative support.
Basic understanding of security procedures and willingness to be trained in security systems.
Strong communication and interpersonal skills with a friendly and professional attitude.
Good organizational and multitasking abilities.
Ability to handle confidential information with integrity.
Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office equipment.
Ability to stay calm and respond effectively in emergencies or security situations.
Flexibility to perform occasional light physical tasks (e.g., moving supplies or furniture).
Good problem-solving skills and attention to detail.
