Position Summary
The PMO supports organizational planning, coordination, and the timely delivery of projects across multiple country programs. This role ensures that programmatic, administrative, and organizational projects are well-organized, properly documented, tracked against timelines, and aligned with institutional standards.
The PMO maintains unified project workflows, ensures data and documentation quality, supports cross-departmental coordination, and provides the tools and processes needed for teams to deliver projects on time, on budget, and to the required quality standards. The role strengthens institutional discipline by developing and maintaining the systems, templates, and frameworks through which projects are organized, monitored, and reported.
A central part of this position is maintaining clean, accurate, and timely data across projects and departments. The PMO ensures that project information, trackers, and documentation remain updated, consistent, and audit-ready to support organizational reporting, reviews, and decision-making.
Overall, the PMO serves as the organization’s central coordinator for execution, documentation, project data, and follow-through, supporting effective delivery and accountability across all teams and regions.
Key Responsibilities
Project Standards, Processes & Governance
Develop and maintain project management standards, templates, workflows, and documentation protocols.
Ensure project management practices are applied across all departments and country programs.
Coordinate cross-functional project meetings and maintain decision logs and follow-up actions.
Portfolio Coordination & Tracking
Maintain a central overview of all organizational projects, including timelines, deliverables, risks, and dependencies.
Update and manage project trackers, schedules, risk registers, and progress dashboards.
Monitor progress and escalate delays or issues as needed.
Support teams in organizing work plans into structured, trackable project frameworks.
Delivery Oversight & Compliance
Ensure projects adhere to institutional policies related to procurement, finance, compliance, HR, and MEAL.
Coordinate across departments to support smooth execution and remove blockers.
Track project milestones and maintain audit-ready documentation and approval records.
Support compliance checks and contribute to donor reporting and organizational reviews.
Workflow, Tools & Digital Coordination
Coordinate project-related workflows using organizational tools and digital platforms.
Maintain updated documentation, testing notes, issue logs, and implementation trackers.
Support change management processes, staff onboarding to tools, and workflow improvements.
Ensure that interdepartmental dependencies are documented and monitored.
Data Management & Reporting
Maintain accurate project data across multiple teams and departments.
Conduct routine data quality checks and ensure consistency across project trackers and reporting tools.
Produce weekly, monthly, and quarterly summaries, dashboards, and management reports.
Ensure project data is organized, accessible, and aligned with documentation requirements.
Documentation, Institutional Memory & Accountability
Maintain a centralized project documentation library, including charters, approvals, agreements, reports, and trackers.
Ensure that decisions and follow-up actions are documented and communicated across teams.
Support audit preparation and compliance assessments through organized and complete records.
Strengthen institutional memory through systematic documentation practices.
Capacity-Building & Staff Support
Train staff on project management tools, documentation standards, and data workflows.
Provide ongoing coaching and support to teams managing project components.
Promote a culture of organization, accountability, and disciplined execution across the organization.
متطلبات الوظيفة:Required Qualifications
Bachelor’s degree in project management, business administration, development, information systems, or related field (Master’s preferred).
7 - 10 years of experience in project coordination, PMO functions, program/operations support, or similar roles, preferably in INGOs or multi-country organizations.
Strong skills in project planning, documentation, data management, and cross-team coordination.
Knowledge of project management methodologies (PMP, PRINCE2, Agile preferred).
Excellent organizational, analytical, and communication abilities.
Ability to manage multiple priorities under pressure and maintain high documentation standards.
Fluency in Arabic and English required.
