They handle administrative tasks such as mail, scheduling, meeting room coordination, and maintaining office supplies, while supporting communication between departments and providing accurate information to guests and staff. The role requires strong customer service, organization, and confidentiality to ensure smooth daily operations and a positive image of the organization.
Fully Responsible for:
Serving as the primary point of contact for visitors and callers, ensuring a welcoming and professional environment.
Managing incoming calls, emails, and correspondence, directing inquiries to the appropriate staff and maintaining accurate records of communications.
Providing comprehensive administrative support, including organizing meetings, managing office supplies, coordinating schedules, and handling routine office tasks.
Maintaining and monitoring the petty cash tracker, managing cash-in and cash-out transactions in strict compliance with security protocols.
Preparing and drafting routine correspondence, perform data entry, transcribing, and other clerical duties efficiently.
Organizing, maintaining, and updating electronic and paper-based files, ensuring accuracy, confidentiality, and compliance with record-keeping standards.
Coordinating with vendors and service providers to ensure seamless office operations.
Assisting with accounting, financial tasks, and other administrative support as required.
Scheduling and managing meeting rooms, supporting logistical arrangements for internal and external meetings.
Collaborating with various departments to facilitate operational efficiency and support project-related activities.
Upholding organizational policies, procedures, and security protocols, ensuring compliance and proper handling of sensitive information.
Delivering exceptional customer service by addressing inquiries, resolving minor issues, and escalating concerns appropriately.
Maintaining a professional and organized reception area, reinforcing the organization’s image and values.
متطلبات الوظيفة:Qualifications & Skills:
Bachelor’s degree in related field such as business administration, management, or communications.
This position welcomes early-career professionals, including individuals with no prior experience as well as those with up to two years of relevant experience.
Proven experience as a receptionist, front desk officer, or similar role.
Strong verbal and written communication skills.
Proficiency in MS Office Suite (Word, Excel, Outlook).
Excellent organizational and multitasking abilities.
Capable of maintaining composure and effectively handling challenges in a fast-paced environment.
Skilled in building positive relationships with colleagues, clients, and external stakeholders from diverse backgrounds.
Basic understanding of accounting or financial record-keeping is an advantage.
