Job Overview/Summary:
The HR & Administration Assistant provides operational support to the HR department and supports the administration functions, ensuring that HR processes, employee records, documentation, and day-to-day administrative activities are completed accurately and in a timely manner.
The position supports onboarding and offboarding, personnel records management, contract administration, recruitment coordination, leave and attendance tracking, training coordination, and employee documentation. The role also provides general administrative support to ensure the smooth and efficient functioning of the office.
The HR & Administration Assistant is expected to maintain confidentiality, demonstrate strong attention to detail, and provide professional and responsive support to staff and management.

Human Resources Administration:
Maintain accurate and up-to-date employee records, personnel files, HRIS, HR portals, and other HR databases.
Support onboarding and offboarding processes for employees, service contractors, consultants, and volunteers.
Prepare and organize documentation required for new employee onboarding, including personnel files, forms, orientation materials, and other required documents.
Assist with the preparation and administration of employment and consultancy contracts, renewals, extensions, and termination documentation.
Monitor contract expiry dates and maintain updated HR trackers to ensure timely follow-up.
Assist in preparing official HR letters and documents, including employment certificates, experience letters, status change forms, and other staff-related correspondence.
Maintain confidential and well-organized personnel files, ensuring that HR documents are properly filed and easily accessible when required.
Respond to routine employee inquiries and direct more complex HR matters to the appropriate HR supervisor.
Support the HR team in ensuring HR processes are implemented in accordance with organizational policies and applicable labor laws.
Recruitment Support:
Assist with recruitment activities, including posting vacancies, receiving applications, scheduling interviews, and coordinating communication with candidates.
Support pre-employment processes, including reference checks and other required documentation.
Maintain recruitment trackers and ensure recruitment files are complete and properly maintained.
Assist with preparing recruitment-related correspondence and documentation.
Attendance, Leave and Payroll Support:
Collect and review monthly timesheets and attendance records.
Maintain accurate leave records and support regular updates to HR systems.
Assist with the preparation and verification of monthly payroll inputs, including attendance, leave, new hires, contract changes, and other relevant information.
Follow up with staff and supervisors to ensure required payroll and attendance information is submitted on time.
Assist with the administration of employee benefits and related documentation.
Training and Performance Management Support:
Coordinate and maintain records of staff orientation and induction activities.
Support the coordination of staff training and maintain updated training records.
Track completion of mandatory training and certifications and follow up with staff as required.
Assist the HR team with the administration of performance management processes, including distribution and collection of performance-related documents.
Ensure completed performance management documents are properly filed.
Employee Engagement and Staff Support:
Support employee engagement, well-being, and workplace culture activities.
Assist with organizing staff events, meetings, and other HR-related activities.
Provide administrative and logistical support to staff and supervisors on routine HR matters.
Maintain professional and respectful communication with employees and external stakeholders.
Administration:
Assist finance and procurement teams by preparing and tracking routine operational expenses.
Manage and process petty cash receipts, logging facility invoices, and maintaining organized, compliant physical and electronic filing systems.
Maintain the asset records for the Ramallah office and update them regularly.
Ensure all newly acquired assets are properly tagged, assigned unique identification numbers, and logged into the system before deployment.
Manage asset issuance forms for staff; track custody transfers and returns.
Serve as the first point of contact; greet, assist, and register visitors, partners, and vendors in accordance with office security and safeguarding protocols.
Maintain a clean, welcoming, and professional reception area, ensuring organizational materials, publications, and staff sign-in logs are organized.
Assist with organizing meetings, appointments, training sessions, and other
Prepare, organize, scan, photocopy, and file administrative and HR documents as required.
Maintain electronic and physical filing systems for HR and administrative records.
Assist with office supplies and administrative requests when required.
Support coordination with service providers, insurance providers, government authorities, and other relevant external stakeholders as assigned.
Assist with travel, accommodation, meeting arrangements, and other administrative tasks when required.
Support the Senior HR Officer and Director of Operations with day-to-day HR and Operations
Provide general administrative support to the operations team.
Perform other job-related duties as assigned by the supervisor.

Qualifications:
Academic Qualifications:
University degree or diploma in Human Resources, Business Administration, Management, Public Administration, or a related field.
Additional training or certification in HR or administration is an advantage.
Experience and Skills:
Minimum of 2–4 years of relevant experience in HR, administration, or a similar role.
Previous experience with an NGO/INGO or development organization is an advantage.
Good knowledge of HR administrative processes and documentation.
Strong organizational and time-management skills, with attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive employee information appropriately.
Good communication and interpersonal skills.
Ability to work effectively as part of a team and support multiple priorities.
Proactive, reliable, flexible, and willing to learn.
Good working knowledge of Microsoft Office applications, particularly Word, Excel, Outlook, and PowerPoint.
Experience working with HRIS or other HR systems is an advantage.
Fluency in Arabic and good working knowledge of English.
