SOLIDARITES INTERNATIONAL (SI) is an international humanitarian NGO which, for more than 40 years, has been providing assistance to populations affected by armed conflicts and natural disasters by meeting their vital needs for food, water and shelter. Particularly involved in the fight against diseases linked to unsafe water, the first cause of death in the world, SI's interventions provide expertise in the field of access to drinking water, sanitation and hygiene promotion, but also in the essential area of food security and livelihoods. Present in around twenty countries, SI's teams - 2000 people in total made up of expatriates, national staff, permanent staff at headquarters, and a few volunteers - work with professionalism and commitment while respecting cultures.

About the position

Contract duration: 6 months renewable according to funding
Job Summary:
The Supply Responsible supports the Logistics Coordinator for the implementation of all procurement and supply activities for Solidarites International Palestine mission.
He/She supports the logistics team at base level in technical questiosn regarding supply
She/He ensures the capitalization of all information related to procurement and supply processes (prices and suppliers lists, import – export processes, taxes exemptions, custom clearance).
She/He organizes trainings for Logistics staffs related to procurement and supply processes.
Job Description:
Supervision of procurement process for the mission and implementation of the supply processes.
Receive and verify quotations and IOF requests sent by the bases before transmission to the Logistics Coordinator
Ensure the monitoring of IOF and inform bases of the development of the status of their purchase orders.
Support base logisticians in carrying out purchases
Oversee the implementation of purchases ensuring compliance with rules and procedures and inform the Logistics Coordinator in case of problems or delays
Update the price lists and supplier files
Ensure that the purchasing files are complete and archived in accordance with SI procedures
Ensure capitalisation of price lists and supplier files as well as of the documents in effect in the intervention country (import - export, exemption, taxes)
Ensure that relationship with suppliers is monitored
Monitoring shipments
Give full support to the Logistics Coordinator in the monitoring of freight and international shipments
Oversee the customs clearance procedures
Mission stock management
Ensure that warehouses are correctly maintained and secured if any
Participate to the physical inventories of stocks located at coordination level
Consolidate monthly inventories from the bases for transmission to the Logistics Coordinator or Logistics Officer
Ensure that monthly physical inventories are completed and reconciled with theoretical inventory
Inform stock managers and/or store keepers of incoming equipment/goods
Human resource management
Participate in the recruitment of the logistics coordination team if any
Appraised personnel under direct supervision
Train logistics teams in accordance with SI procedures
Upon request from the Logistics Coordinator,, organize training workshops related to procurement and purchase procedures
Support purchasers with their tasks and objectives
Reporting / capitalization
Consolidate monthly logistics reports of the bases for the supply parts
Centralize information on, distances, prices and transport methods and companies
Ensure that price and supplier lists are compiled, along with documentation requirements in effect (import – export, exemptions, taxes)
Participate in coordination meetings relating to logistics supply, represent Solidarités International when asked and/or delegated to do so
File and archive logistic documents
Participate to the preparation of files related to procurement to be transferred to HQ
Draws up and analyzes monthly logistics indicators in conjunction with the Logistics Coordinator.
Supports the capitalization of logistics information at mission (national) level.
INTERNAL CONTROL
Responsible for the conformity of documents he/she produces
FILING & ARCHIVING
Responsible for filing and archiving documents produced in accordance with internal procedures.
FIGHT AGAINST ABUSE
Creates and actively contributes to a work environment that prevents inappropriate behavior.
Participates in communicating with the existence of SI's ethical framework.
Respects at all times the protection of information exchanged in the context of a report and its processing.
Implements measures to mitigate the risk of abuse.
This list is not exhaustive, and other related tasks (within the scope of the position) may be assigned at the request of the line manager.
متطلبات الوظيفة:Studies: Bachelor or equivalent, in logistics, supply chain or any relevant field
Experience: 2 years' experience in the sector, experience in NGO is an asset. Experience in team management appreciated.
Languages: English professional working, fluent in Arabic
Skills:
High proficiency in computer skills, including Microsoft Office365 (Teams, Outlook, Word, Excel, PowerPoint), data backup and recovery tools, network management, mobile communications, and hardware troubleshooting. Knowledge of Link software is an asset.
High organizational and problem-solving abilities.
Strong adherence to procedures and rules.
Knowledge of maintenance, or electricity is an asset.
Good communication and teamwork skills.
