SOLIDARITES INTERNATIONAL (SI) is an international humanitarian NGO which, for more than 40 years, has been providing assistance to populations affected by armed conflicts and natural disasters by meeting their vital needs for food, water and shelter. Particularly involved in the fight against diseases linked to unsafe water, the first cause of death in the world, SI's interventions provide expertise in the field of access to drinking water, sanitation and hygiene promotion, but also in the essential area of food security and livelihoods. Present in around twenty countries, SI's teams - 2000 people in total made up of expatriates, national staff, permanent staff at headquarters, and a few volunteers - work with professionalism and commitment while respecting cultures.
Solidarités International (SI) is determined to prevent and fight all type of abuse – all act of exploitation, abuse and/or sexual harassment (SEAH) against members of beneficiary communities or collaborators, fraud, corruption, violation of persons and/or property, funding of activities harmful to human rights – that could be perpetrated in the frame of its interventions. About the position

Contract duration: 6 months renewable according funding
Job Summary:
The Administrative officer supports the HR department in managing day-to-day tasks, in accordance with legal procedures, donor requirements and Solidarités International's internal practices. They are responsible for maintaining personnel files.
Based at their place of assignment, the admin officer supports the Finance Department in processing accounting and financial transactions.

ACTIVITIES
ANALYSIS OF THE SOCIO-ECONOMIC CONTEXT
Participates in the collection of data useful for monitoring changes in the cost of living.
MANAGEMENT OF THE LEGAL FRAMEWORK, INTERNAL & EXTERNAL HR COMMUNICATION
May participate in visits by local and/or national authorities as part of administrative procedures.
Contributes to the dissemination of HR memos and HR tools.
Participates in the monthly update of the area's organisational chart
Attends departmental meetings
Under the supervision of their line manager, contributes to the preparation of HR files in the event of an audit.
WORK ORGANISATION, HR POLICIES & REMUNERATION
Pays attention to the social climate in their area and reports any potential issues to their line manager
May receive complaints from staff and forwards them to the Admin Coo
Contributes to the implementation of SI’s HR policies.
CAREER MANAGEMENT: RECRUITMENT, ONBOARDING, TRAINING & EVALUATION
Assists in disseminating knowledge of staff recruitment and hiring procedures
Supports the administrative management of staff recruitment in the area
On delegation, contributes to induction sessions (including administrative briefings) for new employees
Responsible for filing and archiving recruitment files
Responsible for filing HR events (evaluations, disciplinary measures, training) in personnel files
ADMINISTRATIVE MANAGEMENT OF NATIONAL AND EXPATRIATE HUMAN RESOURCES
Participates in entering HR data into databases
Assists in the preparation of contracts for new employees and amendments where applicable
Responsible for printing contracts and amendments, and archiving signed versions
Ensures the creation and monitoring of HR files, their physical and digital archiving, and participates in their security and confidentiality, in accordance with the HR archiving procedure in force.
MANAGEMENT OF BASE ACCOUNTING
Verifies the compliance of accounting documents
Verifies and ensures the quality and consistency of general and analytical accounting in cash and bank journals
Assist admin responsible on preparation of the monthly accounting close
Edits vouchers, supervises the archiving and digitization of accounting documents
Oversees the sending of archives in coordination
Manage the cash register
Pay invoices and advances in accordance with SI procedures
Prepare the recording of accounting entries in the cash journals
Checks cash balances daily and reports any discrepancies to his/her line manager
Ensures the security of the cash register
Manage the advance ledger
CASH MANAGEMENT
Prepares cash requirements for the base in consultation with the relevant departments
Ensures the cash register has sufficient funds
Ensures currency exchange
INTERNAL CONTROL
Responsible for the compliance of the documents they produce
FILING AND ARCHIVING
Responsible for filing and archiving the documents they produce in accordance with internal procedures
FIGHT AGAINST ABUSE
Creates and actively collaborates in establishing a working environment that prevents inappropriate behaviour.
Participate in communicating the existence of SI's ethical framework.
Respects at all times the protection of information exchanged in the context of reporting and its processing.
Implements measures to mitigate the risk of abuse.
PARTNERSHIPS
May contribute, in line with their role and responsibilities, to the verification of SI implementation partners.
May contribute to the implementation of a plan to support and strengthen SI partners
May participate in the requirements for monitoring the actions of partners in relation to their job and responsibilities

متطلبات الوظيفة:Studies: Bachelor or equivalent, in administration, accountancy, finance, HR or any relevant field
Experience: 1 year experience in the sector, experience in NGO and in team management appreciated.
Languages: English professional working, fluent in Arabic
Skills:
High proficiency in computer skills, including Microsoft Office365 (Teams, Outlook, Word, Excel, PowerPoint), data backup and recovery tools,
Excellent communication and organizational abilities
Proactivity, adaptability and will to learn
